This article describes the options available to FASTTRAK customers in support of Zoho CRM integration.

Overview

The FASTTRAK/Zoho CRM integration supports two primary functional objectives:

  • Synchronize FASTTRAK profiles into Zoho CRM (useful for CRM marketing objectives)
  • Automatically push new Quotes, Information Requests and Contact Us Requests into Zoho CRM as new Leads/Deals, and allow for full booking workflow via CRM activities


These options can be used individually or together depending on your CRM needs. Additionally, the backend FASTTRAK integrations that are used in support of this functionality can be used externally for integration into other CRM systems. Each of these will be summarized below.



In general, Zoho CRM workflow setup and configuration is very specific to the needs of an organization. It is the operators responsibility to configure and maintain the Zoho CRM workflow and activities. FASTTRAK will provide guidance in support of such activities via the integration described below but does not provide services to facilitate specific operator configuration within Zoho.



Synchronize FASTTRAK profiles into Zoho CRM

FASTTRAK now allows you to sync profiles into Zoho CRM automatically. Currently, FASTTRAK supports the following profile synchronization:


FASTTRAK Corporate ProfilesZoho CRM Accounts
FASTTRAK Customer ProfilesZoho CRM Contacts
FASTTRAK AffiliatesZoho CRM Vendors     (*if enabled)


The FASTTRAK to Zoho CRM supports two different synchronization types depending on how you have your FASTTRAK Companies and Zoho Organizations setup. In general, a FASTTRAK profile is tied to a single FASTTRAK company record. The option below will determine if profiles tied to a specific FASTTRAK company will synch to multiple Zoho CRM organizations or a single Zoho CRM organization.


Global CRM Configuration (default): Used for operators that need to synch all FASTTRAK profiles across all FASTTRAK Companies into a single Zoho CRM organization. This is the simplest approach.


Company-level CRM Configuration: Used for operators that would like to keep FASTTRAK profiles separately synched into  different Zoho CRM organizations. This allows for incremental profiles synchronization configuration per FASTTRAK Company and Zoho CRM organization.

CRM Lead/Quote/Book Process 

FASTTRAK now allows you to automatically add new Leads and Deals into Zoho CRM based on actions from InVision, Ultimate, Customer Portal and the Partner API.


The following actions are available:

  • New Information Request from the Customer Portal adds new Lead to Zoho CRM (Customer Portal & Portal API)
  • New Quote adds new Deal to Zoho CRM (InVision/Ultimate/Customer Portal/Partner API & Portal API)


In addition to FASTTRAK Trip Reservation # and Trip Charge amount, new deal configuration also allows you to customize the "Closing Date" of the deal to aid in reporting and activity management.


Customizable Booking Pages

In addition, FASTTRAK provides new Booking Page customization options to allow for users to book/confirm a trip via a simple customizable web link. These web links can be created and configured using Booking Profiles, available within System Settings. 


Customize options for Booking Pages includes:

  • Ability to customize Operator Information and Marketing Messages
  • Ability to show/hide trip information on booking page 
  • Ability to set a specific status upon booking (flip to booked)
  • Ability to auto-close Deal (won) in Zoho CRM
  • Ability to collect a user signature and store within the reservation (tbd)
